Responsible for both the HR And Finance actions regarding Payroll services for the Sponsor and an external organization. The office interacts with all offices across the Sponsor organization. This position is within the Payroll Division (PD) of Compensation Services Group (CSG) and tempo varies with the demands of bi-weekly payroll. Payroll Division is comprised of four teams of employees supervised by team leads and contractors.
Share responsibilities with other contract and staff resources. This position will serve as a payroll administrator. The office will provide you with extensive on-the-job training and access to a variety of sponsor-unique databases. This work includes researching and responding to customer needs by applying and interpreting established policies and procedures. It requires gathering data and preparing, tracking, maintaining, and updating employee records and information. Be responsible for providing clear and concise feedback and instruction to employees when corrections/changes are required; maintaining metrics statistics, analyzing and evaluating complex information to form sound conclusions and taking appropriate actions(s). Apply general business processes of the office to resolve routing to complex mission-driven issues, draft written notifications that are understandable, and assist customers in becoming self-sufficient in finding information to answer a variety of payroll questions. Manually process employee amended timesheets to include calculating pay and leave impacts and updating personnel records accordingly. Payroll receives approximately 2,000 amended time sheets per pay period. The expectation is to complete a minimum of 50-100 amends each pay period. The response time on these timesheets is currently 6-8 weeks. Be responsible for addressing employee travel notifications for one more AORs, updating personnel files, and providing initial pay calculations if necessary. Prepare moderately complex documentation regarding pay and benefit discrepancies for employees, including calculations reflecting impact to tax, retirement, and insurance premiums. Attention to detail is critical, as these changes must be accurate and reflected in the HR information system of record, as well as the sponsor's financial systems. Facilitate employee-entry of banking information and to withholdings upon the employee entering on duty, as well as completing necessary changes to that information for existing employees. Audit biweekly payroll information to ensure data integrity and accuracy prior to transmission of earning and leave statements and pay to employees. With provided training and oversight, become familiar with sponsor regulations and HR policy guidance regarding accurately processing timesheets. You will also answer moderately complex compensation-related queries from customers. Answers will be in writing through the appropriate tracking system and will reflect an overall understanding of the issues presented. The office's customer base extends to the entirety of sponsor staff personnel. Maintain metrics to track their status completed, work in progress, and to support decision making such as development. Payroll administrators are expected to knowledge share to include training others and updating SOP's.
Working knowledge of Microsoft Office products as much of the reference materials is built in a variety of Office products, primarily Word and Excel. The office will provide training on sponsor-specific HR Information systems, the internal arrival and departure notification tool, and on the ServiceNow platform
